The Operations Associate’s primary responsibility is to fulfill the needs of his/her assigned managers and project teams. This involves anticipating project needs, managing workload, and producing work of the highest quality in a timely manner.
The Operations Associate is responsible for planning and coordinating project scheduling, budgeting, cost tracking and other administrative tasks. Support the Professional Team, by facilitating project logistics such as meetings, conference rooms, conference calls, travel etc. Takes meeting minutes and action items during meetings and performs basic follow-up, tracking and reporting of progress. Assists in development of presentations and reporting.
Extensive calendar management, meeting scheduling, travel and event planning and general organization of work flow throughout the office.
Create, organize, and maintain the administrative documents and structure for the department.
Maintain up-to-date organization charts and distribution lists for those involved in the program and department.
Type, assemble, organize, format, and edit/proof the team documents and presentations.
Perform typing and/or data entry tasks.
Process travel and expense reports.
Maintain list of department contacts and key stakeholders for business development purposes.
Coordinate meetings, special events, and travel arrangements using internal and external services.
Proof all written materials for spelling, grammar, structure, and consistency.
Perform photocopying, faxing, and other preparation, as needed.
Provide recruiting support for both consulting, corporate, and administrative staff.
Support managers with distribution and coordination of weekly project status reports.
Qualifications and Education Requirements
3+ years of experience in the administrative assistant field, supporting senior management
Experience in event management / office management / business administration (preferred)
Strong Microsoft Office skills are required; Google Suite (GMail, Sheets, Slides) experience a plus
Bachelor’s degree preferred
Detail oriented with the ability to multitask while staying organized
Strong technical and procedural abilities
Ability to work independently and maintain a calm, professional demeanor under deadline pressures and in sensitive or stressful situations
Experience with WordPress a plus
Positive, problem solving attitude
